How to Choose a Wedding Planner in India: Costs, Questions, Red Flags

A good wedding planner is the difference between a family that enjoys its own wedding and one that runs it like unpaid event staff. A bad one is an expensive middleman. The gap between the two is visible before you sign — if you know what to look at.

Know what tier you are buying

Planners sell three tiers. Full planning covers sourcing, negotiation, budget management, design direction, guest logistics, and on-ground execution at every function. Partial planning picks up your existing bookings in the last two or three months. Day-of coordination runs the events you planned. Quotes are meaningless until you know which tier they describe — the phrase “we’ll handle everything” has no contractual meaning.

How planners charge — and why it matters

Three models dominate: a flat fee, a percentage of the wedding budget (commonly 8–15%), or “free” planning where the planner earns commission from vendors. The commission model is never actually free — it decides which vendors you are shown. None of the three is wrong, but you must know which applies, what is excluded, and how vendor commissions are disclosed. Get the payment schedule tied to milestones in writing.

The seven questions

Ask to walk through one complete wedding they ran in the past year, not a showreel. Ask exactly who will be on the ground at each of your functions, and who backs them up. Ask how many weddings they take on your date. Ask for a line-item sample budget at your guest count. Ask how vendor advances and refunds work if a function changes. Ask whether décor is in-house or subcontracted. And ask for two past clients you can call. A professional answers all seven comfortably; evasion on any one of them is your answer.

Red flags worth naming: pressure to sign before a detailed quote, reluctance to share client references, no written scope, and a portfolio of styled shoots rather than real weddings.
